Position Title: Part-Time Bookkeeper
Reports To: Library Director
Schedule: Part-Time, flexible schedule (approximately 19-20 hours per week)

Position Summary

The Elizabeth Public Library is seeking a detail-oriented and organized Part-Time Bookkeeper to support the financial operations of the library. The Bookkeeper will be responsible for maintaining accurate accounting records, processing invoices and payments, reconciling accounts, and preparing financial reports. This position works closely with the Library Director and administrative staff to ensure that all financial activities are completed accurately and in a timely manner.

Essential Duties and Responsibilities

  • Maintain accurate and up-to-date financial records using the library’s accounting software.
  • Prepare, verify, and process invoices, purchase orders, and payments.
  • Reconcile monthly bank and credit card statements.
  • Record deposits, revenues, and grant transactions.
  • Assist with payroll processing and related reporting as needed.
  • Prepare monthly and quarterly financial reports for the Library Director and Board of Trustees.
  • Maintain organized files and documentation in accordance with library policies and audit requirements.
  • Assist with annual budget preparation and year-end closing.
  • Communicate with vendors, staff, and municipal departments regarding financial matters.
  • Support the annual audit and respond to auditor requests.
  • Perform other related duties as assigned.

Qualifications

Education and Experience:

  • Associate’s degree in Accounting, Finance, or related field required; Bachelor’s degree preferred.
  • Minimum of two years of bookkeeping or accounting experience, preferably in a nonprofit or municipal setting.

Knowledge, Skills, and Abilities:

  • Strong understanding of accounting principles and financial recordkeeping.
  • Proficiency with accounting software (e.g., QuickBooks) and Microsoft Excel.
  • High level of accuracy and attention to detail.
  • Excellent organizational and time-management skills.
  • Ability to maintain confidentiality of financial and personnel information.
  • Effective written and verbal communication skills.
  • Familiarity with public library or municipal finance a plus.

Physical Requirements

  • Work is primarily performed in an office setting.
  • Must be able to sit for extended periods and occasionally lift or move files and boxes up to 20 lbs.
