Purpose of the EDI-NJ Institutional Assessment Pilot Project:

In May 2025, the EDI-NJ Institutional Assessment Tool was launched to help libraries deepen their commitment to equity, diversity, and inclusion (EDI) across all areas of practice–from collections and community programs to leadership and workforce development.

The next phase of this initiative, the EDI-NJ Institutional Assessment Pilot Project, will engage ten libraries in piloting the tool to:

  • Provide structured support for libraries ready to begin or deepen their equity, diversity, and inclusion (EDI) journeys by strengthening systemwide understanding of EDI principles and offering individualized consulting to help interpret and act on assessment results.
  • Continue beta testing the assessment to ensure its utility, accessibility, and relevance across libraries of varying types, sizes, scopes, and community contexts.
  • Gather and analyze data on library needs, capacity, and barriers to equitable practice to inform the broader EDI Strategic Roadmap for New Jersey Libraries Project.
  • Serve as a case study that models collaborative, reflective, and action-oriented approaches to advancing organizational equity and provides a framework that can be replicated in other states.
  • Build statewide capacity for sustainable, equity-centered transformation in library operations, services, and culture.

The project is a collaborative effort among library organizations and professionals, funded by NJLA and LibraryLinkNJ. 

What you can expect to gain:

  • Participation in the pilot is free and includes up to four hours of one-on-one consulting with an EDI expert to interpret assessment results and develop actionable strategies.
  • Opportunities to participate in collaborative learning and connect with libraries across the state to share lessons, strategies, and support.
  • A deeper understanding of organizational strengths, growth areas, and concrete next steps for advancing EDI.
  • Recognition as part of a statewide pilot cohort informing the next phase of the EDI Strategic Roadmap for New Jersey Libraries Project.

What we’ll ask from you:

  • Designate a pilot lead (and small team) to coordinate participation.
  • Participate in an onboarding meeting with the EDI consultant.
  • Collaboratively complete the full EDI-NJ Institutional Assessment Tool within the pilot timeframe.
  • Take part in guided debriefing and reflection.
  • Develop an EDI action plan.
  • Participate in the evaluation of the tool and pilot project.
  • Engage in collective reflection and sharing.

Eligibility & Selection:

We welcome applications from public, academic, school, and special libraries across New Jersey that are:

  • Committed to advancing equity, diversity, and inclusion in their organization.
  • Willing to engage in reflection, honest dialogue, and collaborative, data-informed learning and planning.
  • Able to dedicate a small internal team (3-5 staff members) and allocate staff time for meetings, assessment completion, and follow-up discussions.
  • Supported by leadership in participating fully in the pilot timeline.

Priority may be given to libraries that have not yet had structured EDI support but demonstrate readiness and enthusiasm to begin, or to libraries with emerging or promising EDI initiatives seeking to deepen and formalize their approach. Cohort selection will ensure representation across library types, sizes, and regions to capture diverse perspectives and community contexts to inform the statewide creation and implementation of the tools.

November 20-21, 2025 Review submissions & confirm pilot cohort.
November 21-24, 2025 Send out pilot acceptance letters
November 25-December 12, 2025 The application deadline has been extended to fill the remaining spots!

Onboarding & Orientation 
* Note: For applications received by the extended deadline (December 12, 2025), we will adjust the “Onboarding & Orientation” timeline and the start date for “Assessment Completion 1.”
November 24-28, 2025 Confirm participation via an agreement letter.
December 1 - 12, 2025 Individual onboarding meetings with each library and EDI consultant
Assessment Completion 1
December 8, 2025 - January 16, 2026 Libraries complete the EDI-NJ Institutional Assessment collaboratively and submit results
Debriefing
January 22, 2026 1:30 PM EST Virtual workshop for participating library staff based on assessment results
January 19 - February 6, 2026 1 hour facilitated guided assessment debrief, EDI Assessment Debriefing & Action Planning Guide with EDI consultant
Action Planning
February 2 - March Each library receives up to 3 hours of individual consultation with the EDI consulting for developing action plans.
Note: Following the creation of their EDI action plans, libraries will be expected to begin making progress on their stated goals. We will check in with libraries three months and six months after the action plan is created for progress updates. EDI-NJ will not set each library’s action plan implementation timeline, as each library will progress at its own pace.
Feedback & Evaluation
April 2026 EDI-NJ will collect qualitative and quantitative feedback from the participating libraries on the tool’s clarity, applicability, and value.
May 2026 EDI-NJ will gather pilot evaluation data from the participating libraries. 
June 1-19, 2026 EDI-NJ will develop a pilot summary report and share it with the participating libraries, and make it available to all NJ libraries. 
July 2026 EDI-NJ will share pilot learnings & takeaways at a national conference or virtual convening. 
Phase 2
Post-pilot Evaluation 1
September 2026 EDI-NJ will conduct a 3-month post-pilot evaluation survey with the participating libraries. 
October 2026 EDI-NJ will analyze 3-month post-pilot evaluation data from the participating libraries. 
November 2026 EDI-NJ will share a pilot project update report and share it with the participating libraries, and make it available to all NJ libraries. 
Assessment Completion Part 2
December 2026/ January 2027 Libraries will again collaborate on the EDI-NJ Institutional Assessment to assess current progress and submit their results.
Post-pilot Evaluation 2
January 2027 EDI-NJ will conduct 6-month post-pilot; one-year post-assessment evaluation/debrief
Collective Reflection & Sharing
February 2027 EDI-NJ will host a final pilot learning session with the participating libraries.

It is encouraging to see diversity in both library type and the stages of each library’s journey, and we thank them for their commitment and active participation. We will share their progress and learnings from the pilot with our members as we continue to move forward with the project.
