We are seeking an enthusiastic and organized Events Coordinator to lead our public programming efforts and bring innovative, high-quality events year round to our library and community.
Position Overview:
The Events Coordinator is responsible for the end-to-end execution of library events, from planning and logistics to on-the-ground implementation. This role requires creativity, excellent project management skills, and the ability to adapt in real time to ensure events run smoothly. In addition to developing engaging programs, the Events Coordinator will personally execute events and lead a small, highly mobile team. This is an active, on-the-go position that involves regular travel to various locations, including multiple library sites, events, and partner sites. This position requires evening and weekend availability to actively engage with the community. The schedule is based on the needs of the library and could change if and when needed.
Key Responsibilities:
- Plan, coordinate, and execute a diverse range of events, including author talks, cultural programs, educational workshops, community activities, local happenings.
- Take full responsibility for running events on-site, overseeing and setting up and breaking down equipment as needed, managing logistics, and troubleshooting in real time.
- Lead and train a small team to support event operations, including coordinating with a future part-time hire and library staff when needed.
- Plan and manage large-scale events such as the annual Library Fair, seasonal festivals, and city-wide literacy initiatives, ensuring smooth execution and high community engagement.
- Work closely with library staff, community organizations, and local partners to curate programming that reflects the needs and interests of the community.
- Manage event logistics, including venue setup, scheduling, speaker coordination, permits, vendor contracts, and budget tracking.
- Promote events through library communication channels, including social media, email newsletters, flyers, and press releases, in collaboration with the marketing team.
- Oversee event registration, attendance tracking, and post-event evaluation to assess success and improve future programming.
- Develop relationships with local artists, educators, authors, and speakers to expand the library’s network of event collaborators.
- Ensure events are inclusive, accessible, and welcoming to diverse audiences.
- Serve as the primary point person for events—ready to step in, problem-solve, and ensure a seamless experience for attendees.
- Assist with grant applications and sponsorships to support programming initiatives.
Community Engagement & Outreach:
- Represent the library at fairs, schools, parks, and other community events by tabling and engaging with the public.
- Ride and manage the library’s book bikes to bring library services and programming into the community.
- Build connections with local organizations and residents to ensure programming is responsive to community needs.

Qualifications:
- Bachelor's degree in event planning, communications, marketing, or a related field (or equivalent experience).
- 5+ years of experience in event planning or public programming.
- Experience running events hands-on in addition to planning and coordination.
- Ability to lead and manage a small, flexible team in a fast-paced, mobile environment.
- Superior organizational and project management skills with the ability to manage multiple events simultaneously.
- Proficiency in using event management software, social media platforms, and Microsoft Office/Google Suite.
- Ability to work evenings and weekends as needed for events.
- Passion for libraries, literacy, and community.
Preferred Skills:
- Fluency in a language other than English, especially Spanish.
- Knowledge of Hoboken’s population, geography, and demographics.
