Under the supervision of the Administrative Operations Manager, the Bookkeeper will coordinate the financial flow of operations in the office, which includes accounts payable and accounts receivable along with contract and grant accounting.
 

  • Oversees the office accounting system in QuickBooks.
  • Monitors and maintains the office financial records.

     

Works with Executive Director, Administrative Operations Manager, Cooperative staff, members, vendors/contractors, and representatives of partnering organizations.

Qualifications

Required Skills and Experience

  • Education: High School graduate with financial experience and at least two years of relevant work experience.
  • Expertise in Generally Accepted Accounting Principles (GAAP)
  • High expertise in QuickBooks, with preferred experience in QuickBooks Online.
  • Strong customer service philosophy.
  • Solid experience in Microsoft Office Suite with required high experience in Excel.
  • High expertise in bookkeeping/accounting including handling accounts payable, accounts receivable, as well as producing financial reports when required.
  • Ability to maintain all financial records and to manage the financial filing system.
  • Ability to initiate, organize and work independently.
  • Ability to work effectively as part of a team. 
  • Ability to work collaboratively with other staff, members, and stakeholders.
  • Effective communication and collaboration skills to interact in speech, in writing, and virtually with other staff, library personnel, members, vendors, and stakeholders both individually and in groups

 

Desirable experience

  • Demonstrated knowledge of web based technologies and tools, such as Google Drive.

 

Position Responsibilities

Duties and responsibilities may include, but are not limited to:
 

  • Works with the Administrative Operations Manager and Executive Director regarding all financial compliance aspects of the organization.
  • Performs bookkeeping and accounting duties.
  • Assists the Administrative Operations Manager with payroll.
  • Performs financial records management under the supervision of the Administrative Operations Manager.
    • Maintains all financial records.
    • Maintains the financial filing system.
  • Works with staff, partners, and vendors to assist with financial aspects of organizational services, e.g., orders and invoices.
  • Contacts member organizations regarding outstanding invoices and responds to member invoice enquiries.
  • Represents LibraryLinkNJ to partner organizations such as the New Jersey State Library, VALE, and the New Jersey Library Association as assigned.
  • Supports special projects as needed, e.g., produces and distributes awarded contract checks and tracks contract awards on spreadsheets.
  • Other duties as assigned.

 

Job Requirements

The position requires light to moderate physical effort demanded when performing functions under typical office and computer use conditions. 

Possession of a valid Motor Vehicle Operator's License valid for use in New Jersey is preferred but not required. 

Must be eligible for permanent employment in the United States with documentation for Form I-9 of the U.S. Citizenship and Immigration Services.

Work Schedule and Location

This part-time position (21 hour work week) requires the employee to be present in the LibraryLinkNJ office at 2300 Stuyvesant Ave, Trenton, NJ 08618. The opportunity to work remotely is based on the needs of the organization and at the discretion of the Executive Director. This position may require travel to meetings and programs throughout the state. Mileage and tolls will be reimbursed according to federal standards.
