The Springfield Free Public Library is seeking candidates for the newly created full time position of Library Bookkeeper/Secretary.   The essential duties and responsibilities  of this position include the following:

  • Handle all matters pertaining to library payroll, using ADP software, including biweekly issuance of employee paychecks, handling and monitoring payroll deductions, paid staff time off, and all other matters directly pertaining to employee compensation.
  • Responsible for compiling monthly library bill list, including the preparation and organizing of vouchers and checks for review by the Library Director and signing by three Library Board members; responsible for mailing all checks and addressing any problems which may arise as part of this process.   Proficiency with Quickbooks is required.
  • Once a year, providing documents for and working with the person assigned to perform the library’s audit.
  • Handling all aspects of petty cash account, including the reimbursement of library employees for minor expenses that are work related.
  • Handling of all library revenue from overdue fines and charges for lost or damaged items, plus revenue from public printer use, donations, grants and other sources; making trips to the bank to deposit this money at least two or three times per week.
  • Making copies of all documents to be included in the monthly Library Board packet, assembling documents in an orderly manner, and mailing of packets.
  • Maintain binders containing the official minutes and other documents pertaining to meetings of the Library Board and all Library Board Committees
  • Assisting librarians on staff with the creation and dissemination of PR materials including, but not limited to, fliers, press releases, social media posts; and content for the digital message board next to the circulation desk.
  • Maintaining master schedule of the meeting room and Donald B. Palmer Museum and ensuring that scheduling conflicts do not occur.
  • Handling applications and receipt of payments from outside groups using either the meeting room or the Palmer Museum for non-library related purposes.
  • Keeping track of and handling initial intake of applications from artists applying to exhibit their work in the Donald B. Palmer Museum.
  • Maintaining orderly files of all official library documents, as instructed by the Library Director
  • In absence of Assistant Library Director, maintain monthly schedules for the Circulation, Reference, and Youth Services desks.
  • In absence of Assistant Library Director, attends and records minutes at Library Board meetings
  • Working with Library Director, as requested, on other projects and tasks related to the operations of the Springfield Free Public Library
  • With the approval of the Library Director, working directly with other members of the library staff on projects and tasks related to the operations of the Springfield Free Public Library.

 

Required Specialized Skills for this position include:

  • Proficiency using Quickbooks 
  • Previous experience handling payroll functions in an ADP environment is highly desirable
  • Proficiency with Microsoft Office software, specifically including Excel and Word
  • Ability to work independently, as part of a team, and from home
  • Ability to meet deadlines
  • Ability to maintain confidentiality

Additional Requirements

  • New Jersey residency required
  • Ability to comply with all safety protocols, including mask and glove wearing, as appropriate
  • Ability to work in a sitting position for extended periods
  • Ability to look at a computer monitor for long periods
