The Mercer County Library System is seeking applications for the role of administrative assistant in the Library’s Administrative Office, located at 2751 Brunswick Pike, Lawrenceville, NJ 08648. We are looking for an energetic, self-motivated, organized, creative problem-solver. The candidate should be detail-oriented, and have the ability to work well with library administration, other library staff, vendors, necessary county departments, and patrons. The position requires flexibility in handling diverse roles and functions within a sometimes-changing and fast-paced environment. Internally this position provides administrative support for the Library Director, Chief Fiscal Officer, Supervising Librarian, as well as interacting with nine branch libraries, and the Maintenance, Information Technology, and Acquisitions & Cataloging departments.

Duties include, but may not be limited to: greeting visitors, answering telephones, and guiding inquiries as appropriate; assists with special projects; branch, county and vendor correspondence and communications; incoming and outgoing mail/faxes; filing; copying; updating staff, vendor (i.e. alarm) and county contact information and records; compiling reports relating to the library’s annual budget request; preparing, organizing and filing various administrative correspondence, documents and reports; preparing and reconciling bi-weekly budget reports and expenditures; maintaining a perpetual inventory of supplies and distribution of same; tasks associated with postage, such as mailing packages and letters, and maintaining office equipment, such as the fax, postage machine and copier. 

This position will also be expected to work closely with the library’s payroll/personnel clerk, inventory fulfillment, and provide secretarial support to the Library Director and Chief Fiscal Officer, as needed.

REQUIRED QUALIFICATIONS:  Excellent communication and typing skills, proficient use of Microsoft Office, including Word, Excel, and Publisher, attention to detail and accuracy, ability to multi-task and the understanding that patron and employee confidentiality are paramount to this office environment. Previous office experience is a plus, as is working with the county’s AS400 software.

Candidates should be able to work independently or within a team, and have strong time management and organizational skills, the ability to prioritize; strong interpersonal skills; filing system experience and proficiency; effective oral and written communication skills; sensitivity to working with confidential material; active learning skills and the ability to understand the implications of new information for both current and future problem-solving; strong critical thinking skills; flexibility and willingness to adapt to changing environment and priorities; positive attitude, patience, professionalism, maturity, integrity, a sense of humor, and excellent judgment. 

The library system is committed to excellent customer service. The successful candidate must be able to work effectively with a diverse population of staff and patrons, making a positive library experience a priority. This position is part-time, Monday through Friday, either 9:30 am to 1:30 pm or 10:00 am to 2 pm.

Part-time employees accrue vacation and sick time and are paid for any Mercer County observed holidays that they are scheduled to work.
