Accounting Clerk (Bookkeeper) – Part time

The Moorestown Public Library is seeking an accounting clerk to join its administrative team. The candidate will assist the Office Manager to accurately record and maintain the financial records of the library. This position requires excellent communication and decision-making skills, as well as proficiency in QuickBooks, Microsoft Excel, and Microsoft Word. 

This is a part-time position of 15-20 hours per week. Hours will be determined upon hiring. Additional hours may be required as needed for special projects.

Primary Responsibilities:

  • Records and deposits incoming cash, donations, and other library fines and fees.
  • Processes incoming invoices for payment.
  • Creates vendor profiles, purchase orders and vouchers, manages accounts payable/receivable, monitors accounts, and transfers funds as needed.
  • Coordinates with all Departments to ensure library materials and supplies that are needed are selected, ordered, and received.
  • Reconciles the cash accounts of the library to bank statements.
  • Maintains accurate and proper records of private donations and grants awards activities.
  • Tracks and prepares timesheets for submittal to Township Human Resources for payment.
  • Assists the Office Manager and Library Director with the annual NJ State Library Per Capita Aid Application and other reports as needed.
  • Assists with compliance with New Jersey State regulations for purchasing, record retention, etc.
  • Candidate must be able to bend, reach, push carts weighing up to 200 lbs., and lift up to 25 lbs.
  • Candidate must have a valid State Driver's license and ability to make deposits at local bank.
  • Performs other duties as assigned.

Qualifications:

  • Bachelor's Degree in accounting or related field or the equivalent in education and experience.
  • Knowledge and skills in Microsoft Office and QuickBooks required.
  • Experience in bookkeeping/accounting required.
  • Experience working in a public library, public sector, or non-profit sector a plus.
  • Excellent oral and written communication skills.
  • Abilities to keep organized, accurate and detailed recordkeeping.

Employment is contingent on passing pre-employment physical and criminal background check, including fingerprinting.

The position requires residency in the State of New Jersey. If the successful applicant is not a New Jersey resident, he or she must become a bona fide New Jersey resident within one year.
