The Matawan Aberdeen Public Library is seeking an organized and experienced Bookkeeper/Administrative Assistant to support the Library Director. The individual in this position is responsible for all financial record keeping, vendor relations, cash and bank deposit  transaction reconciliation, monthly preparation of Board meeting financial reports, payment of bills, payroll and paid time off record keeping, health benefits  and pension management, and other duties as required by the Library Director.

Responsibilities include, but are not limited to, the following:

Bookkeeping

  • Cash flow monitoring
  • Processing of invoices
  • General ledger posting
  • Balance sheet and general ledger reconciliation
  • Journal entries
  • Vendor payables and receivables management
  • Management of quarterly appropriations and state aid payments
  • Preparation for annual audits

Payroll/Benefits Administration

  • Payroll preparation and execution
  • Employee benefits enrollment, changes, and termination
  • Health plan, pension, and insurance maintenance
  • Tracking of PTO

Support

  • Preparation of monthly financial reports for the Board of Trustees
  • General assistance with benefits and payroll questions for the library staff
  • Other duties as assigned by the Library Director

Minimum qualifications:

  • High-school diploma with at least 2 years’ relevant experience, or Bachelor’s degree in a related field
  • Expertise in bookkeeping and accounting principles
  • Fluency in Quickbooks, word processing, and spreadsheet software applications
  • The ability to effectively communicate and work as part of a team

Strong candidates will have excellent bookkeeping skills, a keen eye for detail matched with perspective on the big picture, the experience to anticipate organizational needs, the ability to set priorities and meet deadlines, and the disposition to thrive in a highly collaborative, friendly environment.

Experience working in a library or other non-profit organization is a plus.

Schedule: 15-20 hours per week, flexible - based on the needs of the organization

Salary: $28.05 - $31.16/hr.

MINIMUM QUALIFICATIONS 

  • High school diploma, and former customer service, programming, and/or library work experience preferred  
  • Strong computer and communication skills

 This is a part-time position (up to 28 hours per week). 

 JOB RESPONSIBILITIES 

  • Initiate, plan, and/or conduct various programs and activities to encourage adults' use of the library, including films, concerts, and special events. 
  • Create a regular schedule of adult programs, (current average is 70 programs per month) 
  • Research, contact, and negotiate with potential program presenters and performers.  
  • Send vouchers and follow up for signature. 
  • Maintain and organize invoices and vouchers for adult programs. 
  • Lead several programs each month, including obtaining and preparing all necessary materials 
  • Coordinate programs to work into library initiatives, objectives, and community events.  
  • Set up and cleanup program space and assist presenter(s) or leave clear instructions for staff members if absent. 
  • Employ various strategies and methods to market programs to a broad audience 
  • Create creative, fun, and eye-catching flyers for publicity  
  • Submit press releases to various news media outlets/township TV station 
  • Prepare and submit adult program flyers  
  • Assist in content creation for FFPL’s Facebook page; post photos and information Prepare print and electronic newsletters 
  • Prepare all electronic and digital signs including online registration for adult programs 
  • Conduct applicable adult outreach to Fairfield community groups, organizations, or businesses, 
  • Prepare and maintain monthly statistics for adult programming

  • Attend library conferences, workshops, and committees as applicable; attends and participates in staff meetings

Under the direction of the Supervising Library Assistant for User Services, Performs a variety of circulation and service related functions as well as providing an excellent customer experience. 

ESSENTIAL FUNCTIONS OF THE JOB

Responsibilities include, but are not limited to:

  • Charging/renewing/discharging materials in an automated system
  • Entering and updating library cards in an automated system
  • Handling issues with overdues and other account information
  • Handling money through accepting fees
  • Handling incoming reserves and pulling expired holds

REQUIREMENTS OF THE POSITION

Part Time Librarian 1, West Windsor Branch, Mercer County Library System May 2, 2024

Please accept this as notification of the anticipated vacancy of the position of Part Time Librarian I at the West Windsor Branch, Mercer County Library System.  This 19 hour per week position during the school year requires the following schedule, Saturday 9-5, Sunday 12-5, and Monday 12:30-8:30. In the summer the Sunday hours shift to Friday.

This position will require an MLS/MLIS degree from an ALA accredited institution and a NJ Librarian’s Certification. Students enrolled in an MLS program with a significant amount of coursework completed will also be considered, making this an excellent opportunity for students working on a library and information science degree to get work experience

The successful candidate should be enthusiastic, forward thinking, resourceful, flexible, efficient, conscientious, and detail-oriented.  The candidate should have excellent communication and customer service skills, exhibit friendly professionalism, be able to effectively handle multiple projects simultaneously, contribute new ideas that will help the branch to better serve its community, and provide outstanding reference service. 

The candidate will be expected to create/facilitate adult programming for a diverse public; assist the Virtual Programming Coordinator in discovering, scheduling and facilitating virtual programming; market programs and library services; and do outreach to the community.

Typical responsibilities include, but are not limited to:

  • Searching the library catalog and locating library materials;
  • Accessing databases/other reference materials and demonstrating their use to patrons;
  • Answering reference questions presented in person, electronically, and by telephone;
  • Using a computer, scanner, copier, projector, and microfilm equipment;
  • Providing one-on-one technology sessions;
  • Providing readers’ advisory services and selecting library materials;
  • Contributing posts to the library blog and other library social media opportunities
  • Maintaining the library collections;
  • Assisting patrons in the operation of computers and computer software and providing appropriate instruction when needed;
  • Creating and providing publicity and programming, both in and outside the branch;
  • Participating in outreach activities to include physical outreach and participation in the library’s social media platforms, as well as writing posts for the blog.
  • Willingness to become a notary is desirable, because the branch has demand for notaries on the weekend.

Familiarity with the library system’s resources and social media platforms, including the website, prior to applying is strongly encouraged. Knowledge of current library technologies and the ability to use the library’s automated system, online resources, mobile applications, and Microsoft Office applications such as Word and Excel is a must.

This title is covered under AFSCME local 3566.  The current salary range for the position is $23.1590 to $37.4038 per hour. Once certified into a permanent title, part time employees earn sick and vacation time, and are eligible to receive holiday pay. Early Literacy Librarian (Full Time)- Scotch Plains Public Library May 1, 2024

Early Literacy Librarian

 

Job Description: 

Under the direction of the Head of Youth Services, the chosen candidate for this position is responsible for the planning, development, and implementation of the Library's early literacy programs, services, resources, and special events for children age birth to 5 years and their caregivers. The Early Literacy Librarian will also take a lead role in community outreach by developing partnerships with early learning centers, school networks, and other organizations that focus on early childhood development. The Librarian will also provide programs and resources to students, caregivers, and early childhood educators to expand the reach of the Library's early literacy services.

 

Qualifications: 

  • Master’s degree in Library and Information Science (or equivalent) from an ALA-accredited program (preferably with a concentration in Children and/or Youth Services)
  • Must have or be eligible to obtain a New Jersey Professional Librarian Certificate
  • Bachelor’s Degree in Early Childhood Development and/or education (highly preferred)
  • Experience in developing and conducting children’s programs, including instructional programs and services 
  • At least two years of experience working with children ages 5 and under (highly preferred)
  • Ability to to work effectively with people of all ages and diverse backgrounds
  • Storytelling skills, including singing and reading with expression
  • Ability to show and apply knowledge and understanding of current early literacy research and best practices, including understanding of early childhood learning theory and developmentally appropriate practice

Essential Responsibilities: 

  • Plan and present high-quality in-person and virtual (when required) early literacy programs for children and families, educators and caregivers including storytimes, large-scale programs, and special events
  • Deliver high-quality services and resources to schools, including preschools and local schools
  • Develop and coordinate library's early learning opportunities and experiences that prepare children to become ready to learn to read
  • Schedule and provide community outreach
  • Develop Early Literacy Summer Reading program and other reading initiatives
  • Collect, maintain, and report program statistics
  • Prepare rotating library displays and book lists to highlight the library’s collection
  • Conduct tours and resource instructional guides to groups and individuals inside and outside the library
  •  Provide expert reference service to youth, caregivers, educators, and the general public
  • Assist in maintaining Early Literacy collection by ordering new materials, linking materials to the catalog, performing inventory, shelf-reading, shifting, and weeding ensuring the collection is current and relevant to the needs of the community
  • Maintain working knowledge of popular culture (for example: music, movies, authors and other interests)
  • Write and create publicity materials, including tri-folds, flyers, posters, electronic promotional materials and guides, press releases, and social media posts to keep both staff and the public informed
  • Participate in planning and presenting cross development programs and multi-age programming
  • Assist in other Youth Services department needs when necessary
  • Participate in local and consortium Youth Services organizations meetings and professional development training when necessary. 
  • Readily undertake other duties as assigned. 

 

Hours:

35 hours per week including at least one scheduled evening per week and Saturday on a rotating basis. Additional hours may be required for outreach and programming outside normal business hours.

Library Director - Tinton Falls Public Library May 1, 2024

The Tinton Falls Public Library, a Member Library of the Monmouth County Library (MCL) system, in Tinton Falls, NJ seeks a full-time Library Director to lead our staff and engage our growing community after a long-term closure.

Primary Responsibilities:

  • Direct daily library operations and manage staff and volunteers.
  • Develop and coordinate innovative and engaging programs for adults and children.

  • Develop and expand collection with input from MCL.

Qualifications:

Schedule: Salaried position (37.5 – 40 hours) including days, evenings, and Saturday hours. This position may include provisions to work remotely up to 8 hours/week. Specific schedule to be determined with Board approval as the Library is reopening after a long-term closure.

Part-Time Library Associate – Marketing and Publicity April 30, 2024

Union Public Library seeks an energetic, creative, and self-motivated candidate for the part-time Marketing and Publicity Library Associate position. Under the direction of the Assistant Director, this role is responsible for marketing and publicity of Library services and programs, via a variety of channels, including print and social media. The successful candidate will work collaboratively with Department Heads to create and implement strategies, in order to increase the visibility of the Library throughout the Township and online. 

Responsibilities include, but are not limited to:

  • Plan, write, design, edit, and oversee the production and distribution of marketing material, including print brochures, mailers, emails, digital and print advertisements, print/digital signage, event calendars, annual reports, and other marketing materials that communicate, inform, and persuade;
  • Craft consistent and effective messages and marketing materials to represent and promote the Library. Help promote Library special events. Analyze and assess effectiveness of messages, materials, and distribution channels;
  • With Administration and staff, collaboratively develop and implement a marketing and communication plan to heighten awareness, understanding, and engagement with the Library’s services, collections, activities, and initiatives to residents;
  • Work with the Department Heads to coordinate and attend outreach events in the community.
  • Provide reference assistance at the Adult Services Desk.
  • Perform related tasks as required.

Knowledge, Skills, Abilities:

  • Ability to think strategically and creatively; handle multiple projects and priorities in a deadline sensitive environment;
  • Knowledge and expertise in the creation of marketing and publicity materials, utilizing computer software, such as Canva and Microsoft Publisher, as well as email marketing platforms, like Constant Contact;

Education and experience: The Marketing and Publicity Library Associate must have a bachelor’s degree from an accredited college or university with course work in graphic design, marketing, communications, or related field, and a minimum of 2 years of prior experience in marketing and communications, ideally in a library or nonprofit organization. 

Schedule: 21 hours per week on-site, with the ability to work evenings and weekends.

Salary:  $20.38 per hour.  Paid sick time in accordance with the New Jersey Earned Sick Leave Law.
