Part-Time Bookkeeper & Administrative Assistant
Job Description
- Handle banking transactions including depositing cash 3x/week, transferring funds and reconciling statements monthly
- Prepare vouchers for all invoices, pay bills, reconcile billing and order discrepancies with vendors and maintain financial information in QuickBooks
- Prepare financial reports for monthly Board meetings
- Prepare other financial or budget reports as required
- Prepare materials for annual audit
- Perform daily count of money received and prepare cash drawer and library for opening
- Answer phones and provide assistance including interfacing with library’s circulation system
- Track hours and vacation and maintain reporting for all employees
- Attend monthly Board meetings, prepare minutes for monthly distribution, maintain agenda and prepare resolutions, prepare packets including minutes, agenda, motions, statistics and financial reports and maintain official Board binders
- Order office supplies and other supplies as needed
- Handle repair and billing of public and staff copier machines including monthly report of usage
- Other duties as assigned
Requirements
- Knowledge of bookkeeping and/or accounting principles and procedures gained from a course of study and/or work experience.
- Proficiency with and a minimum of 2 years working with QuickBooks
- A high school diploma. Some college courses are desirable
- Excellent interpersonal and communication skills and attention to detail
- Experience with PrimePoint or other payroll software
- Proficiency in MS Office and Google Drive, esp Word, Docs, Excel, Sheets, etc.
- Superior oral and written communication skills; tact; excellent people skills
- High level of interpersonal skills and ability to work effectively as part of a team
- Ability to work independently and be self-directed.
- Ability to work with small amounts of money and provide change for staff
- Experience in a library or non-profit environment a plus
- Ability to stand for extended periods, bend, stoop, reach and carry for extended periods as well as lift up to 20 pounds and push book carts up to 40 pounds
- Must be able to exercise judgment in public service situations
- Customer service experience in a library, office or retail environment, library experience preferred
- A valid NJ driver’s license.
Hours and Salary
This is a part-time position working 25 hours/week. Regular work hours would be 9AM-2PM Monday through Friday as well as 7:30-9PM on Board meeting days (3rd Tuesday September to June). Must be in compliance with NJ First Act. Salary meets NJLA minimum.
